ADASS Guidelines and Policy

Oral Presentations
Oral presentations must be 12 minutes long with 3 minutes for questions (contributed papers) and 25 minutes with 5 minutes for questions (invited papers).

A video projector for computer-aided presentations such as PowerPoint or a web browser will be available. If you plan to make an electronic presentation you may bring your own laptop computer, which can be connected to the video projector in the meeting room. You may also bring your presentation on floppy disk or CD-ROM. Both Windows and Linux computers will be provided but we cannot guarantee that all presentation formats will work.

When you arrive at the conference, please contact a Local Organizing Committee member well in advance of your session in order to go over the details of your presentation, especially if you arrive with your presentation on electronic media.

All oral presenters are advised to be prepared with hardcopy transparencies in case of equipment failure.

An overhead projector will be available for transparencies.

Note: Registered participants may request an oral presentation, but the Program Organizing Committee will make the final determination regarding acceptance and the content of the oral program.

Poster Presentations
Poster papers will be displayed on panels (free-standing bulletin boards). The available area will have a size of:

  • width: 36 inches
  • height: 48 inches. It will be possible for a poster to extend below.

    Please notice that big posters will only fit in portrait format in this frame. Special adhesive tape for attaching the posters will be supplied. push pins will NOT be usable.

    Exhibit Floor Demo Presentations
    Exhibit Floor demonstration sessions will run concurrently with the poster sessions and allow presenters to demonstrate software or network-based services. This space is available to you for the duration of the ADASS Conference.

    For your demo, you will be provided with:

  • A Table
  • A Poster Panel
  • Chairs
  • Power Supply
  • 1 Internet Connection

    A demonstration fee of $500.00 is due in addition to the conference registration fee.

    Since you are bringing your own equipment, you are encouraged to bring appropriate security accessories with you.

    Focus Group Demo Presentations
    The Focus Group is a 30 minute block of time in a private meeting room.

    For your demo, you will be provided with:

  • Private Room
  • Vu-Graph
  • Digital Projector
  • Screen
  • Microphone
  • Podium
  • Internet Connection with Hub/Switch

    A demonstration fee of $100.00 is due in addition to the conference registration fee.

    Cancellation Policy
    To cancel your registration contact adass@ipac.caltech.edu. Cancellations received by email before the close of business September 24, 2004 are entitled to a refund minus a $50 US processing fee. Refunds will be processed within 8 weeks of submission. Cancellations received after that date will not receive any refund.
